Overview
This procedure configures FactoryLogix Office to send an email notification when a new task is assigned to a user via the Taskflow system.
Prerequisites

A dedicated email account for sending notifications (MFA must be disabled, or App Passwords must be configured for the account).

SMTP port access enabled on the firewall (port 587 for SSL, port 80 without SSL).

IT department access to configure SMTP authentication for the sending account.
Enable the Taskflow system

Open FactoryLogix Office.

Go to System Configuration > Settings.

In the All category, find the Enable Taskflow System setting and set the Default Value to True.
Create an email template

Open FactoryLogix Office.

Go to Templates and Standards > E-mail Templates.

Create a new template and note the exact template name—it will be required in the next section.

Go to System Configuration > Settings.

Select the Process Planning settings category.

Locate the Option Type: Project scheduling option.

Type the exact name of the email template you created into the text field provided.
Note
The email template name field is a free-text input box, not a dropdown. The name must match exactly.
Configure email settings

Open FactoryLogix Office.

Go to System Configuration > Settings.

Select the General settings category.

Under Email Address, enter the account that will be used to send notifications.

Configure the SMTP server. For Office 365, use smtp.office365.com.

Set the port: use 587 if SSL is enabled, or 80 if SSL is not enabled.
Note
The SMTP ports must be open on the network firewall.
Assign a user to a task

Open FactoryLogix Office.

Go to Process Engineering > Schedule Projects.

Select Create new project request and provide a project name.

Expand the task options by clicking the arrow.

Select the Person icon to assign a user to the task.

Save the assignment. An email notification is sent to the assigned user based on the configured template.
Office 365 account requirements
If Office 365 is used as the mail provider, the IT department must configure the dedicated sending account as follows:

Disable MFA for the sending account, or configure App Passwords.

Enable SMTP authentication for the dedicated sending account.
